There are many types of samples sent to customers, the most common of which are test samples and quality samples:

- Production Sample——Randomly selected from bulk production
- PP Sample (Pre-production Sample): Pre-production samples are confirmed before bulk production; bulk production must be consistent with pre-production samples
- Quality Sample: May be inconsistent with bulk production, only used for quality confirmation
- Sealed Sample: Mostly used for comparison during final inspection
9 Details to pay attention to before sending samples:

Attach business cards, brochures, specifications and other information.
Whether you send samples to new or old customers, our business cards, brochures, specifications and other information must be placed on the samples. Otherwise, when the customer receives it, he will have to find the email again to download the information, or the customer will give the engineer a test, and he doesn’t know what your parameters are, which will affect your test progress. Moreover, the brochure can be convenient for customers to look through it directly next time. If there is a project match, I believe they will contact us directly.

Attach a quotation
Put the quotation according to the situation. If the price has been basically agreed in the early stage, then it can be omitted. Because it is convenient to protect the customer’s privacy information.

In order to let customers know the parameters of the samples as soon as they receive our samples, and also clearly know which supplier the samples are from, I will add product parameters, contact information, date and other information to the samples. Professional outer box logo
Why add an outer box logo? Because in order to let customers find the information of our samples as quickly as possible, your company and products should be highlighted on the outer box so that customers can find them at a glance. I usually add product pictures, product names, product parameters, product models, contact information, etc. on the outer box, as shown below: (Avoid revealing company information, mosaics have been added)

Attach the sample invoice
When sending express delivery, the express delivery will require an invoice and a packing list, so a paper version or an electronic version will be attached when packing

Pack the samples well to ensure that the samples will not be damaged
When packing samples, the samples should be wrapped with bubble paper, the size of the carton should be appropriate, and the empty space should be filled with cushioning materials to avoid damage to the goods due to impact during transportation. I believe everyone knows these basic common sense.
The outer box and the foam and other materials inside the packaging should be as consistent as possible with the shipment, because it is guaranteed that the sample received by the customer is packed in this way, so the shipment will also be like this. If it is inconsistent, it will be explained to the customer in advance, otherwise there will be conflicts when the shipment is inconsistent later.

Provide express information by email
After the sample is taken away by the courier, the express number should be provided to the customer in time to facilitate the other party to follow up the express and query the progress. The express information should be provided on the same day. The express information should include: express number, delivery time, and how many boxes in total? In addition, take a picture of the outer box and send it to the customer, so that the customer will remember who sent him the sample when he receives it.

Pay attention to the progress of sample logistics information every day
If you see that the courier has been delivered, you should immediately write an email to the customer to remind them to pick it up, because many large companies’ couriers are directly placed in a receiving area, not directly to the customer.
