HX Leather Goods has been in the bag business for many years and we have developed a reliable sample ordering process. We strive for perfection. At HX Leather Goods, we pride ourselves on our craftsmanship and attention to detail. We follow a strict process for every product to ensure that nothing goes wrong. Before any samples are shipped, each product is inspected to ensure that it meets or exceeds our customers’ expectations. We follow this process to ensure consistency in the delivery of the final product. The steps involved are as follows:
-
Design Samples
We help our clients design their brands and products by providing them with high quality samples. We offer our clients two ways to create samples: either we ask them to provide samples or they can ask us to modify an existing product.
- The first method is for clients to send us their own designs. The customer provides us with instructions regarding materials, brand logos, product dimensions and other requirements. If the customer wants a more accurate sample, then the best way is to send us the sample and we will provide an identical copy of the sample provided.
- The second way is that the customer gets the final product from us and then asks us to modify it according to their requirements. The customer can add their logo to our product or ask for some modification in the size and weight of the sample.
Overall, before designing the samples, we will check all the aspects to make sure that everything is in order. We will focus on that:
-
Step 1: Customer’s needs
We will communicate with the customer about all the details of the product we want to design, it is very important to keep updating the customer with all the details of the product they are ordering
-
Step 2: Cost Control
Controlling the cost of each sample is important to us as well as to the client, especially for mass production orders, as this will greatly affect the profit margins of both parties.
-
Step 3: Sketching and Prototyping
Before making the samples, we will make sure that our designers have made complete sketches to ensure the dimensions and details. We will provide some similar samples to see if it fits the customer.
-
Step 4: Plate making
When a sample or item needs to be produced in large quantities, we need to make a plate. Plate making ensures that each product is the same size and shape so that everyone has the same feel when using it.
-
Step 5: Sourcing fabrics and materials
We need to make sure that all materials come from good quality suppliers, so we need to do plenty of research before sourcing, and also need to thoroughly check the quality of the materials during and after we receive them, as poor quality materials can lead to poor reviews of our brand.
-
Sample Making
We will work with designers, sales representatives and production teams to develop samples for our clients. The designer will be responsible for the design process. The sales department will be responsible for sourcing materials and coordinating with our designers to get the best possible samples. The production team will be involved in checking the samples and making sure they are up to standard before shipping.
-
Sample Confirmation
A confirmation sample is a physical sample created to confirm the final specifications set by the buyer. Its purpose is to ensure that the buyer will receive what he or she expects to buy. This is an important step for any business that produces products to be sold, as it helps to ensure that the product meets the customer’s needs. The sales team, design team, and production team will work together to make sure that everything meets the customer’s needs. The sales team will gather all the information and needs of the customer and make a detailed list. The design team will create a design layout based on the information provided by the sales team and they need to make sure that the design meets the customer’s needs. The production team will follow up with the sales, design and quality control departments to get everything ready for mass production.

However, we will do our best to speed up the sample time in order to accommodate our customers’ sales and promotional programs. If you have urgent needs, please remind us especially.

Sample Fee
We charge a sample fee starting at $5.00 per piece, depending on the size, color, and complexity of the sample. Please understand that these fees are only used to cover the labor costs of our workers to ensure that they are able to produce samples in a timely and accurate manner.
Stock samples are free of charge and shipping is at your own expense.
Personalized branding/logo setup cost (if required): also subject to charge.
-
Delivery Method
Typically, it takes approximately 5-7 business days to reach most countries worldwide when shipped via courier companies such as DHL, UPS, Fedex, TNT and EMS, or 7-12 days when shipped via economy.
Courier Fees and Charges
Calculations and charges are based on the weight (or cubic weight) of the parcel.
There are two ways to pay for Express Fees and Charges
- postage/fees prepaid – we pay in advance and then we add the charges to the invoice and send it to the consignee/customer;
- postage/fees on delivery – the charges incurred will be collected/paid by the consignee at the destination;
However, based on our past experience, we strongly recommend our customers to choose the first method as even if you have an agreement/ or discounted rate with your local courier company, they will still charge you much more than what we pre-paid. When choosing the first method, all sample fees, wholesale ordering of goods and/or courier fees can be paid online or T/T via PayPal.
